Overview A well-established, high-volume European luxury dealership in the Beaverton market is seeking an experienced Warranty Administrator to join its fixed operations team. This is a critical role responsible for ensuring accurate claim submission, manufacturer compliance, and timely reimbursement — directly impacting service department profitability and cash flow.

Position Summary The Warranty Administrator will manage all aspects of manufacturer warranty claims, including submission, documentation, reconciliation, and follow-up. The ideal candidate understands OEM compliance standards, audit preparation, and the importance of minimizing chargebacks.

This role works closely with the Service Manager, advisors, technicians, and accounting to ensure clean repair orders and proper coding.

Key Responsibilities

  • Process and submit manufacturer warranty claims in a timely and accurate manner
  • Review repair orders for completeness, proper coding, and technician documentation
  • Ensure compliance with OEM policies and procedures
  • Monitor claim receivables and follow up on unpaid or rejected claims
  • Maintain warranty schedules and reconcile payments
  • Prepare and support warranty audits
  • Track and minimize warranty chargebacks
  • Communicate with service advisors and technicians regarding documentation deficiencies
  • Maintain organized electronic and physical records

Qualifications

  • 2+ years of dealership warranty administration experience (European brand experience preferred)
  • Strong knowledge of OEM warranty policies and audit standards
  • Proficiency in DMS systems (CDK, Reynolds & Reynolds, or similar)
  • High attention to detail and documentation accuracy
  • Strong organizational and time management skills
  • Ability to work independently in a fast-paced, high-line environment
